1. Purpose of Agreement

XIA Academy welcomes professionals and businesses to collaborate voluntarily in sharing expertise, offering training, hosting visits, or facilitating experiential learning. This agreement outlines expectations and safeguards to ensure a respectful and meaningful experience for all participants.

2. Scope of Collaboration

The Collaborator agrees to contribute in one or more of the following forms:

• Lead or support training sessions, workshops, or coaching
• Welcome participants at a business location for structured interactions
• Facilitate team activities, business simulations, or talks
• Support basic session activities such as taking attendance, distributing assignments, or managing check-in/out

All contributions should reflect XIA Academy’s mission and values.

3. Participant Interaction

• Collaborators may be left with minors during scheduled programming where XIA Academy staff are present nearby and supervision protocols are clearly outlined.
• Collaborators must not leave minors unattended under any circumstances.
• Private discussions or requests for personal information from minors are not permitted unless a parent or legal guardian is present.
• Sessions may include mixed-gender attendance, but team activities will be conducted in same-gender groups to support participant comfort and cultural sensitivity.

4. Content & Conduct

The Collaborator:

• Shall ensure content is respectful, constructive, and inclusive
• Must avoid topics, language, or behaviors that could be deemed inappropriate or contrary to XIA Academy’s ethos
• Must inform XIA Academy of any planned resources, platforms, or tools to be used in advance

5. Screening and Approval

XIA Academy reserves the right to:

• Conduct informal vetting or background checks
• Decline or withdraw collaboration at any point, at its discretion and without obligation to disclose reasoning

6. Safety & Liability

• XIA Academy assumes no liability for the actions, opinions, or instructional methods of the Collaborator
• Collaborators must follow all staff guidance at all times
• Any concerns or incidents must be reported to XIA Academy staff immediately

7. Media & Privacy

• Photos, videos, or recordings taken during collaborative sessions may be used for educational or promotional purposes unless the Collaborator submits a written opt-out prior to the engagement
• Any confidential information exchanged must remain protected and not disclosed without consent

8. Payment and Fees

• This agreement represents a voluntary collaboration
• Unless otherwise arranged in writing, no compensation, reimbursement, or honorarium is promised or expected

9. Termination

Either party may terminate this agreement with written notice. A minimum notice period of two weeks is required prior to a scheduled engagement.

10. Acknowledgment

By signing this agreement, the Collaborator confirms understanding and acceptance of all terms described.
